1.What qualifies a unit for the rental program?
All units in the Plaza Resort & Spa are eligible for the rental program.

2.How will you be able to attract guest to stay at the Plaza Resort & Spa?
Renting your unit through Southern Hospitality offers significant competitive advantages with access to group, conference, wholesale and travel business via our multi-million dollar strategic marketing programs targeting the U.S and Canada.

Our Reservations Department systems link directly to the reservation office in Daytona Beach ensuring reservation coverage all year long.

Because we are the resort operator, we are able to offer comprehensive packages and services to guest in addition to their accommodations.

3.What rates will be charged to rent my unit?
In order to achieve the highest occupancy percentages, average daily rates, and to secure the best overall rentals, a variety of pricing options are available to transient, wholesale, travel agents, tour operators, corporate and leisure travel groups and other guest. We will use our best pricing judgments to secure high levels of occupancy.

4.Can I set my own rates for my unit?
We are not able to meet this request. Operating a large hotel requires a dynamic and flexible reservation system. Reservations are often moved between units to allow us to minimize the “gaps” between various lengths of stay. Having different “rules” in place for individual units would hamper our ability to maximize occupancy for all owners in a Rental Program.

5.How often will my unit be rented?
We cannot predict unit revenues. Our goal is to help drive occupancy by actively marketing to the group business market segment as well as social guests. Please feel free to contact the Daytona Beach CVB (Convention and Visitors Bureau) at www.daytonabeachcvb.org for the most current market data.

6.Can I rent my unit myself while on the rental program?
The rental agreement will not allow for owners to rent their units themselves while participating on the Rental Program. Southern Hospitality retains the role of exclusive rental manager under the terms of the agreement.

7.How often do I receive statements for my unit?
Southern Hospitality will record reservations and revenue for each unit. Statements will be sent out monthly.

8.Can I personalize my unit?
In the Plaza Resort & Spa, Owners shall refrain from installing or permitting to be installed, in their unit any item not meeting the Hotel Standard. Owners are not permitted to leave any personal property or possessions in the unit, other than the Unit Furniture, Fixtures, and Equipment set forth in the Rental Agreement.

9.Can I place restrictions on my rental unit?
Unfortunately we will not be able to accommodate this request. The Plaza product is essentially managed like a hotel. All units are equal and to maximize availability, occupancies, revenue, and provide the utmost in guest experience, owners are not permitted to place any additional restrictions on their unit.

10.What is the FFE&M Fund?
The FFE & M Fund is for the repair, maintenances and replacement of the Furniture, Fixtures and Equipment, as well as for the Modernization of these items in your Unit. This includes everything in your Unit.

11.What are the peak/off peak times at the Plaza?

Generally speaking, peak months for rate and occupancy in Daytona Beach are February, March and July and the off-peak months are September, October, November, December, and January. During peak times the demand for hotel rooms increases and we are able to charge higher rates for your units. These events include Speed Weeks, Bike Week, the National Cheerleading Competition and the Spring Garden Show. After this time period, we move into our family season which occurs between Memorial Day and Labor Day. After Labor Day, we rely heavily on convention business. 12.How do you decide which Units to rent?
When a guest calls and requests a particular size, location, feature, view or type of unit, we do everything possible to fulfill that guest’s requests. If a guest calls with not specific requests, our third-party hospitality property management software distributes the rentals on an equitable basis based on availability and Owner use. Our Unit Owner Relations team regularly monitors this process to make sure it is working properly.

13.Who do I call if I want to stay in my room?
The Plaza Resort has two Owner Relations Managers who are specifically dedicated to assisting our unit owners. They can help arrange your stay and also assist with any other questions or issues you may have. Their contact information is provided at the end of this document.

14.How many days can I stay in my room?
Unit owners that are in the Unit Rental Management Program can stay in their room up to 60 days a year as long as the stay does not exceed 30 days consecutively. Reservations must be made in advance because it is subject to availability.

15.What if my friends/relatives want to use my unit?
No problem. Contact your Owner Relations Manager to make a reservation.

16.What/why do I get charged if I stay in my room if I am in the Unit Rental Management Program?
A one time charge of $25.00 is required at the end of your stay if you are in the rental program. Turn down and other services are available as well at an additional charge upon request. If you are not in the rental management program the fee is $100.00 for departure cleaning.

17.What do I own at the Plaza Resort?
You own your room and all of the Furniture, Fixtures and Equipment in it. Everything outside of your room is owned by the non-condominium lot owner.

18.Is there any limit on the number of nights that my room can be rented on a complementary basis?

The ability to offer rooms on a complementary basis is an important marketing tool for the property, allowing us to accommodate advance conference planners, tour planners, travel writers, or other bona fide generators of rental business. Any additional costs associated with the comp stay shall be at the sole cost and expense of the Plaza Management team and Housekeeping fees will not be charged to the unit owner for such complimentary use. Under your existing Leasing and Management Agreement, there is no limit on the number of nights that we can use your Unit on a complementary basis. Under the new Leasing and Management Agreement, if you execute it, we agree that we will not comp your room more than 6 nights per year.

19.Can I refer people to stay in my room if I am in the rental program?
Absolutely. Contact your Owners Relations Manager to make a reservation. This is subject to availability of your unit.
